Roberts & Roberts – Written procedures for handling clients’ money
- Clients’ money is held in the Royal Bank of Scotland Clients Account.
- The funds in the client account can only be accessed by a dual authorisation for all payments between either director or senior employee of the company.
- All payments of cash and cheque will be banked into the client account as soon as is practicable, on the day or the day after receipt, except for ground rent sums under £20.
- No payment can be made from the client account without dual authorisation and authorisation of the actual expenditure by an RICS-qualified member of staff or director.
- There are no current bank charges on the client account.
- Interest is accrued and donated to charity, due to the difficulty in apportioning such small amounts between clients.
- Formal reconciliation of accounts and all balances takes place on a monthly basis, but in practice is done more frequently on our accounting software.
- Clients will normally have formal statements once a quarter, with interim statements where required.
